After your shoot, I may have collected written details (via email or contact form) that may include your name and contact information, and digital photographs/ images of you (that may be identified as you) from your shoot with me or through an agency/PR/Marketing third party. The data I process
Your contact details, details about a shoot, images from a shoot, images that may be identifiable as you, images that may be identifiable as your company or your clients company, images that may be identifiable as your clients/guests (if event photography) or subjects/Models selected for the shoot.

Why I process/ collect your data
To be able to contact you regarding a shoot and to be able to consult with you regarding a shoot, pre-shoot or post-shoot services, to offer you the best service, to edit images, to retouch images and to deliver images. To add to my ongoing online and printed portfolios. I also keep your images secure to ensure I have your photos should you lose your images or require another copy in the future.

CONTACT FORM
During our first communication via this site's contact form, I will collect the details you give me in my email software in order to communicate with you, once appropriate subjects/models have been selected, these contract details will also be added if applicable.

EMAIL
During our communication and in setting up a shoot, I store data such as your email address, phone number address, and other details such as shoot details and shoot briefs in my email client. This email data is kept in my email software so I can find you and communicate with you easily.

During our on-going relationship or after your shoot, I may send follow up email/s in relation to projects, permissions, contracts, receiving images and any further services you wish to hire from me.

I keep your email folder & emails connected with your account in my archives. I clear client details (if I haven't worked with you for some time) from my email archives every 6 years.

PHONE
Your contact details may also be kept in my phone, so I can contact you during the time we are working together.

I don't have a formal delete date but I am mindful to delete clients that I haven't worked with for some time after 3 years.

PHOTOS / DIGITAL IMAGE STORAGE
I create a folder on an external secure hard drive as part of a global indexed catalogue that is named with your name/company, the date and type of shoot. I keep all of the selected digital images from a shoot in this folder and each file has embeded copyright and shoot details in the File's Metadata.

The external hard drives are backed up and stored in both my office and at home and are only accessed by me. Final Hi-resolution images that are output are also archived in the cloud via a private secure dropbox folder (Dropbox is GDPR compliant)

IMAGE GALLERY
I may upload a wide selection of your digital images to a password protected cloud based gallery using Dropbox (compliant with GDPR) for you to view, comment and download your images. All of the images in this gallery are private (unless you choose to share your password).

PORTFOLIO - ONLINE & PRINT
In running my photography business I may use photographs taken during a shoot that may be identified as you as part of my online and print portfolios. This includes my website, social media accounts and print brochures, leaflets, business cards and other printed products. I may store photos from your shoot that may be identifiable as you as an example to show to potential clients under legitimate interests of running my business.

WEBSITE AND/OR BLOG 
I may use images that may be identifiable as you, and details that may identify you, on the Howard Oates Photography website and/or blog

My website is hosted via Adobe Portfolio and is SSL secure. I have ensured that I have done my best to safeguard your data and images that may be identifiable as you by disabling the right click on the website, embedding Metadata and ensuring users understand that images cannot be copied, distributed, adapted or saved via the copyright and privacy details of this policy.

SOCIAL MEDIA
I may use photos from a shoot that may be identifiable as you in my social media portfolios.




DROPBOX
I may store photos from your shoot that may be identifiable as you in a private folder on Dropbox if uploading archiving, sharing with you or agency third parties, publishers or as part of my portfolio. (Dropbox is GDPR compliant)

PHONE/ iPAD
I may store photos from your shoot that may be identifiable as you in my phone 'photos' folder if uploading them to use on my website, blog, social media or as part of my portfolio.

ARCHIVES
I may keep your email correspondence (and data contained) connected with your shoot in my electronic archives which are stored in my email software, phone, dropbox and/ or on external hard drives.

I empty my email archives every 5 years.

I may keep your digital images connected with your shoot in my electronic archives which are stored on an external hard drive, and in my online and printed portfolios.
I don't have a formal delete date but can provide one if required.

FURTHER USE
For any use unlisted here I will seek your permission in addition to this form, and will not proceed without express agreement in writing/ by email from you. I will never sell or licence photos from a shoot that may be identifiable as you without prior permission and a signed model release.

Information Sharing
Emails and contact details are stored on my desktop and synced online via iMail and iCloud. My desktop operates behind a firewall. Emails and contact details are backed up to external hard drive using time machine. My desktop is protected by a password and external hard drives are only used by me.

GOOGLE ANALYTICS (Google Inc.)
Google Analytics is a web analysis service provided by Google Inc. (“Google”). Google utilizes the Data collected to track and examine the use of this Application, to prepare reports on its activities and share them with other Google services. Google may use the Data collected to contextualize and personalize the ads of its own advertising network.

iCLOUD
Backing up my phone, laptop and desktop (emails, notes, contacts, apps, not photos), hosting and archiving emails and storing contacts from my phone and my hard drive.
